Ordering custom backpacks from a factory comes down to three decisions: what you want customised, how many pieces you need, and where the order is going. At BANGE, stock models start at 50 pieces per model, a custom logo or colourway starts at 300 pieces, and custom packaging starts at 1,000. The six steps below follow an order from first message to delivery.
Step 1: Decide what you are customising
Most custom orders fall into one of three levels, and each one changes the minimum quantity and the lead time.
Logo only. Your logo goes on an existing model. Embroidery, printing, debossing and metal plates are the usual methods. This is the quickest route.
Logo and colourway. The same model in your colours. Allow extra time for the fabric to be dyed and matched.
Logo, colours and packaging. Branded polybags, hangtags, gift boxes or master cartons. This makes sense for retail shelves and gift programmes, and it starts at 1,000 pieces.

Step 2: Choose the base models
Starting from a model already in production is faster and cheaper than designing a new bag, because the patterns, materials and quality checks already exist. Pick the models by use: a laptop backpack for staff kits, an expandable travel pack for incentive trips, a sling for events.
Keep the first order to two or three models. It's easier to approve artwork, and you can add models on the second order once you know what your people or customers actually use.
Step 3: Send artwork that production can use
A vector file (AI, EPS, PDF or SVG) avoids most delays. Include the Pantone colour references, the logo size in millimetres, and where on the bag it goes. For embroidery, very fine lines and small text don't stitch cleanly, so a simplified version of the logo often looks better.
Ask for a proof showing the logo on the actual model, at the actual size, and sign it off in writing before production starts.

Step 4: Confirm the quote and payment terms
The quote should list the unit price, the customisation cost, packaging, and the shipping terms. On a first order with BANGE you pay a 50% deposit to start production. From the second order, Net-30 terms are available.
Check whether the price is delivered or ex-factory. A lower unit price with freight, duties and customs clearance still to pay can end up costing more.
Step 5: Plan the timeline backwards
Start from the date you need the bags in hand and work back. Leave time for artwork sign-off, production and transit, plus a buffer for customs.

DDP means the price includes duties and customs clearance, so nothing extra is due when the boxes arrive.

Step 6: Check the delivery
Open a few cartons from different pallets as soon as they arrive. Check the logo position and colour against the signed proof, run every zip on a handful of bags, and count the cartons against the packing list. Report problems with photos straight away, while the shipment is still fresh.
Four mistakes that cost time
Sending a JPG logo. Low-resolution artwork has to be redrawn, and that adds days before anything can start.
Ordering too many models. Six models with a custom logo means six proofs to approve. Start with two or three.
Comparing unit prices only. Compare delivered prices, including freight and duties.
Leaving it late. Back-to-school and year-end gifting fill factory schedules. Order early for those dates.
